The operating workflow above the strata ledger: levy arrears, maintenance, committee communications, meeting packs and the compliance calendar, run as a managed queue your managers approve. From $5,000 to map and build, $1,000 a month to run.
Bring one scheme’s compliance calendar. We’ll show you which deadlines the queue would have caught. No charge, no deck.
WE’VE WORKED WITH PEOPLE LIKE YOU · THIS IS HOW IT IS NOW
368,234 schemes. 3.19 million lots. The same manager count.
Independent and mid-size strata managers who are not locked into a franchise or PE-owned stack. NSW reforms are staged through 2026: hardship statements, prescribed capital works forms from 1 April, mandatory committee training later in the year, fire maintenance to the Australian standard since 13 February. Every change lands on the same manager.
Strata Master and StrataMax own the record. Urbanise shipped an AI assistant in April. None of them run the work: the arrears sequence, the maintenance job from report to invoice, the meeting pack, the compliance calendar that tells you a fire inspection is due next week. That is the layer we build, on top of the ledger you already have.
YOU WANT TO DO BETTER. YOU KNOW YOU CAN.
THEN WE WALK IN · WHAT WE BUILD
Four workflows, in the order they pay back.
We start with the one that costs you the most hours per lot. For most managers that is arrears. For some it is the compliance calendar.
The ledger and the inbox in. Arrears, packs and the calendar out.

Your business, on rails. The systems of record never move.
THE RAILS
01 · LEVY ARREARS
The sequence that runs itself until a human needs to decide.
Reminders, hardship statement handling under the new rules, payment plan offers, escalation to the committee. Every step logged, every send approved.
02 · MAINTENANCE
From owner report to paid invoice without the manager typing.
Report captured, contractor dispatched, quote reviewed against the delegation, invoice matched to the job. The manager approves at the two points that matter.
03 · MEETING PACKS
Assembled from the ledger, not from last year’s pack.
Agenda, financials, prescribed capital works forms, motions and minutes drafted from the record. Committee training obligations tracked per member.
04 · THE COMPLIANCE CALENDAR
Every obligation per scheme, dated, with the evidence attached.
Fire maintenance, insurance renewal, AGM deadlines, training. A calendar the committee can see and a log you can show the regulator.
WE HOLD YOUR HAND · HOW IT RUNS
Six weeks for the first workflow. One portfolio first.
Weeks 1 and 2, we sit with one portfolio manager and map arrears or compliance as it actually runs across your ledger and inbox. Weeks 3 to 5, we build and test on live schemes with the manager approving every send. Week 6, live.
From then on it runs daily per scheme. The manager sees the queue, the committee sees the calendar, the owner gets the reminder. Monthly we show the receipt and roll to the next portfolio.
THE PROMISED LAND · THE RETURN, WORKED
One portfolio manager, 42 schemes, 1,100 lots.
An illustrative scenario, not a client engagement: a mid-size Sydney manager with one portfolio manager running arrears, maintenance and compliance for 42 schemes from the ledger, a spreadsheet and an inbox.
01 · THE MAP
Arrears handled in six different ways.
Each reminder typed by hand. Hardship statements handled from memory of the new rule. Escalations missed when the manager was on leave.
02 · THE LEAK
Eleven hours a week on arrears alone.
Plus three overdue fire inspections nobody had logged and a capital works form in the wrong format for the 1 April rule.
03 · THE QUEUE
What the engine did.
Ran the arrears sequence per lot, drafted every reminder, flagged hardship statements for the manager and logged escalations for the committee.
04 · THE CALENDAR
What the manager saw on Monday.
Three fire inspections due this fortnight, two AGMs needing packs, one committee member overdue for training. All with the evidence attached.
05 · THE RESULT
Eleven hours to two. Zero missed inspections in the quarter.
The manager took on a second portfolio without a second manager. The committee stopped asking for the compliance status because they could see it.
06 · THE CALL
Roll it across the portfolios, then decide about the rest.
Once arrears and compliance hold, maintenance and meeting packs follow the same path. Each one earns the next.
Illustrative scenario, not a client engagement.
YOU THINK YOU CAN DO IT YOURSELF
You think you can do it yourself. You can’t. Not well, and not while running the firm.
You could buy the tools and wire them together on weekends. Most firms try. It works until the first exception, the first staff change or the first time nothing was logged for the licensee. The engine is the gate, the rules and the monthly receipt, not the software. You still own your data, your rules and the agreed right to run what we build. N+1 keeps its reusable code and may reuse generic components.
FAQS
FAQs
CHOOSING
Arrears, maintenance, packs or compliance first?
Whichever costs the most hours per lot in your portfolio. Usually arrears. If NSW reforms are keeping you up, the compliance calendar. The 20-minute call settles it.
SYSTEMS
Do we have to leave Strata Master or StrataMax?
No. The ledger stays. The layer reads from it and writes back to it where the vendor allows. We build above the record, not instead of it.
COMPLIANCE
Will it keep up with the NSW reforms?
The rules live in the engine as a calendar and a set of checks, so a change in the regulation is a change in the calendar, not a retraining of your staff. We maintain it as part of the monthly run.
COST
What does it cost and what is excluded?
From $5,000 inc GST to map and build one workflow on one portfolio, paid up front. From $1,000 a month to run. Ledger vendor API fees, where charged, are quoted separately.
LEAVING
What if we stop?
30 days’ notice. You keep the mapped workflow, the calendar and the agreed right to run what we built.
OUTPUT
Is this just another strata portal?
No. Portals show owners information. This does the manager’s work and asks the manager to approve the decisions that matter. We are measured on hours per lot and obligations met.
WHAT HAVE YOU GOT TO LOSE
